Your customers no longer call — they write. And a customer who writes expects a fast answer. This guide covers three levels of WhatsApp auto-reply: from free built-in tools to a fully equipped AI assistant.
Which method fits you depends on your message volume and variety. We'll cover all three honestly, pros and cons.
Method 1: WhatsApp Business's free tools
The free WhatsApp Business app offers two simple automations. Greeting message: sent automatically to people writing for the first time (or after 14 days of silence) — enable it under Settings > Business tools > Greeting message. Away message: auto-replies outside the hours you set, from the same menu.
There are also quick replies: canned answers you send in a second with the / shortcut. These tools are a fine start, but their limits are clear: they send one fixed text, don't understand the question, can't book appointments and can't adapt to the customer's language.
Method 2: Menu-based bot platforms
There are off-the-shelf bots that work with numbered menus: the customer sees options (1-Prices, 2-Booking, 3-Address) and taps through. This works for simple, repetitive flows.
The weakness is the experience: people want to explain their need in their own words, not navigate menus. Any question outside the menu leaves the bot helpless — and with foreign customers it breaks down entirely.
Method 3: An AI assistant
An AI assistant understands free-form messages and produces natural answers from your business's information. There is no menu; the customer chats as with a person. The assistant auto-detects the language, collects details, books the appointment, sends reminders and hands over to you when needed.
Behind the scenes these systems are built on automation platforms like n8n and can connect to your calendar, CRM and accounting. Auto-reply is the doorway to a bigger system: order notifications, stock alerts and weekly reports can be added to the same foundation.
Which should you choose?
If you get a few messages a day and they're all the same: WhatsApp Business's free tools are enough — set them up today.
If volume has grown, questions vary, you have foreign customers or messages arrive at night: an AI assistant is the right step. The gap grows with every lost customer. Before deciding, test the assistant yourself on our demo page — seeing how it talks is more convincing than any explanation.
